Our Process

From workflow audit to working system.

Good automation starts with understanding how work actually happens. Before building anything, we take time to learn your current workflows, the people involved, the tools you already use, and the operational problems you are trying to solve.

The goal is not to add more software for the sake of it. The goal is to create systems that make daily work easier, clearer, more secure, and more reliable. Reground Ops works with businesses to map workflows, identify bottlenecks, design practical solutions, test with real users, and support adoption through documentation and training.

01

Initial Discovery

We start with an initial meeting to understand your business, current workflows, tools, pain points, and goals. This conversation helps identify where manual work, disconnected tools, repeated data entry, unclear ownership, or missed follow-up are slowing the team down.

  • What systems your team currently uses
  • Where information gets entered more than once
  • Which tasks are repetitive or time-consuming
  • Where leads, clients, tenants, or projects get stuck
  • Which reports are difficult to produce
  • Where staff are creating workarounds
  • What privacy, security, or compliance concerns need to be considered
02

Scope of Work and Timeline

After the initial discovery, we create a clear scope of work. This includes the problems we are solving, the systems involved, the proposed workflows or integrations, the expected deliverables, and an estimated timeline. The scope creates alignment before implementation begins so everyone understands what is being built, why it matters, and how success will be measured.

  • Workflow automation
  • Software integration
  • Intake optimization
  • AI tools or chatbots
  • CRM or ERP cleanup
  • Reporting dashboards
  • Data migration
  • Process documentation
  • Staff training
  • Privacy and compliance considerations
03

Stakeholder Interviews

We work with the people closest to the workflow — leadership, operations staff, sales teams, agents, project managers, administrators, coordinators, or anyone else who touches the process day to day. These conversations help us understand what is actually happening, not just what is supposed to happen.

  • Who receives the information first
  • Who updates the system
  • Who follows up
  • What happens when something is missing
  • Which steps are skipped when the team is busy
  • Where mistakes usually happen
  • Which tools staff trust
  • Which tools staff avoid
  • What exceptions happen regularly
04

Workflow Mapping

Once we understand the process, we map the workflow and break the project into smaller pieces. Each piece is defined clearly so it can be built, tested, and improved without overwhelming the team.

  • Where the workflow starts
  • What information needs to be captured
  • Which systems need to connect
  • Which decisions need to happen automatically
  • Which decisions should stay with a person
  • What the team needs to see
  • What the client or customer should receive
  • What needs to be logged, reported, or audited
05

Leadership Review

Before building, we review the proposed workflow and integration plan with leadership to ensure the project aligns with business priorities, budget, team capacity, compliance needs, and the desired customer or client experience.

  • What will be built first
  • Which systems will be connected
  • What data will move between systems
  • Who needs access
  • What privacy or security controls are needed
  • What the testing process will look like
  • What success looks like
06

Build and Test the First Integration

We start by building the first workflow, integration, or system component. This gives the team something concrete to test early. Instead of waiting until the entire system is complete, we validate the first working piece, gather feedback, and make improvements.

  • A form connected to a CRM
  • A lead routing workflow
  • An automated client follow-up
  • A dashboard prototype
  • A chatbot intake flow
  • A data cleanup process
  • A document generation workflow
  • A calendar or task automation
07

Parallel Buildout

While the first workflow is being tested, we continue building the remaining automations, dashboards, integrations, documentation, or software components. This keeps the project moving while still allowing the team to test and refine each part before full rollout.

  • Additional integrations
  • Reporting dashboards
  • CRM cleanup
  • AI-assisted workflows
  • Internal notifications
  • Permission structures
  • Data migration
  • User documentation
  • SOPs and training materials
08

Team Testing and Feedback

The people who will actually use the system test it in real conditions. We look for anything confusing, incomplete, fragile, or mismatched with how the team works.

  • Does this save time?
  • Is the process clear?
  • Is the right information showing up in the right place?
  • Are the notifications useful?
  • Are there too many steps?
  • Are there missing exceptions?
  • Does the team trust the output?
  • Does this improve the client or customer experience?
09

Leadership Sign-Off

Once the workflows have been tested and refined, we review the completed system with leadership for final approval. This creates a clear handoff point before the system becomes part of daily operations.

  • Final workflow behavior
  • System permissions
  • Reporting outputs
  • Documentation
  • Staff feedback
  • Privacy and compliance considerations
  • Training needs
  • Ongoing support plan
10

Training and Documentation

After sign-off, we provide documentation, training materials, SOPs, employee manuals, and live training as needed. A system is only useful if the team knows how to use it.

  • Step-by-step workflow guides
  • Role-based instructions
  • Admin guides
  • Employee training manuals
  • SOPs
  • Process maps
  • Troubleshooting notes
  • Data handling guidance
  • AI use guidelines
  • New employee onboarding materials
11

Ongoing Improvement

After launch, we can continue supporting the system, improving workflows, adding new integrations, and adjusting automations as the business grows. The best systems are not static — they evolve with the team.

  • Workflow refinements
  • New automation requests
  • Dashboard updates
  • CRM or ERP adjustments
  • Staff training refreshers
  • Privacy and security reviews
  • Software evaluations
  • AI tool updates
  • Documentation updates
  • New process mapping

Workflow-First

We do not start with tools. We start by understanding how work actually happens — before recommending software, automations, or AI.

Adoption-Focused

A working automation is not finished when the software runs. It is finished when the team understands it, trusts it, and uses it reliably.

Local and Hands-On

We meet in person when it helps — for discovery, workflow mapping, testing, rollout, and team training.
