Case Study — E-Commerce

E-Commerce and Membership Platform for a Sustainable Butcher

Building a custom WordPress and WooCommerce platform with CSA membership management, customer credit tracking, and a custom POS integration — transforming a local farm's website into a core operational system.

The Client

Victorian Farmstead Meat is an organic, sustainably raised meat producer based in Sonoma County, California. The company had built a loyal local customer base through its retail location and community presence, but its website functioned primarily as an informational resource. Customers could learn about the farm and products, but ordering still happened through traditional channels and in-store interactions.

As the business grew, Victorian wanted to expand its online presence, simplify customer ordering, support subscription-style purchasing, and create a foundation for local delivery and future shipping operations.

The Problem

Victorian's existing systems were not designed for online commerce. The business relied on a custom in-store point-of-sale system and had no integrated platform for online ordering, customer account management, subscriptions, or inventory coordination.

The team needed to solve several challenges at once:

  • Allow customers to order products online
  • Support recurring CSA-style memberships
  • Integrate online sales with the existing POS system
  • Provide customer account access and order history
  • Track customer credits and membership balances
  • Create a scalable foundation for delivery and future shipping
  • Maintain the farm's brand identity and customer experience

The challenge was not simply launching an online store. It was creating a system that connected customer experience, operations, inventory, and fulfillment — while working with a non-standard POS that had no off-the-shelf integration.

Discovery and Planning

The project began with a detailed review of Victorian's customer journey and internal operations. Working with ownership and staff, the team mapped how customers currently purchased products, what the membership and CSA requirements were, how fulfillment and inventory worked, and what the existing POS system could and could not do. The full customer experience was mapped from initial website visit through ordering, fulfillment, delivery, and ongoing membership management.

The Solution

A custom e-commerce platform was designed and built on WordPress and WooCommerce. Working alongside a designer, a brand style guide and customer experience framework was created that reflected Victorian's focus on sustainability, transparency, and local food systems.

The platform included online product ordering, customer account management, membership and CSA enrollment, customer credit tracking, order history, subscription management, delivery support workflows, and integration with the existing custom POS system.

Because the POS system was custom-built, standard integrations were not sufficient. Custom PHP integrations were developed to allow data to move between the online store and in-store systems, creating a more unified operational workflow.

Membership and CSA Program

One of the primary goals was supporting a flexible CSA-style purchasing model. Customers could choose from different membership options based on membership size, product mix, frequency, credit balances, and available inventory. The platform gave customers visibility into their membership status, available credits, and purchase history through a self-service account portal — reducing administrative work for staff while improving the customer experience.

Testing and Rollout

Before launch, the system was tested with a small group of customers and internal staff. Feedback from testing helped refine navigation, account management, checkout workflows, and membership functionality before the broader rollout. This staged deployment reduced risk and ensured the system aligned with real customer behavior.

Tools and Systems

  • WordPress and WooCommerce
  • Custom PHP integrations
  • Custom POS integration
  • Customer account portal
  • Membership and subscription management
  • Delivery workflow support
  • Brand style guide and UX design

Outcome

The new platform transformed Victorian's website from a simple informational resource into a core operational system for the business. Customers could place orders online, manage memberships, track credits, and review past purchases without requiring manual assistance from staff. The business gained a scalable platform capable of supporting future growth, delivery logistics, and broader market expansion. Following launch, Victorian successfully expanded into new markets and used the platform as the foundation for local delivery operations and ongoing customer engagement.

Key Value

This project demonstrated how operational design, customer experience, and system integration can work together to support business growth. Rather than replacing existing systems, the project connected them into a more cohesive customer and operational experience — allowing Victorian Farmstead Meat to modernize its sales process while preserving the personalized service that made the business successful.
